Procurement and Operations Specialist

What You'll Do

As a Procurement and Operations Specialist, you’ll be the person handling hardware and software purchases for clients and internal needs. You’ll develop great relationships with vendors as well as deep knowledge about what they offer in order to get the right equipment at the best prices. You’ll help everyone stay up to date with warranty renewals, and be involved with software purchases and volume licensing. As equipment shipments arrive, you’ll receive them and direct them to their ultimate destination. Your day will go by quickly as you shift with changing priorities and situations.

Who You'll Work With

You’ll be in regular contact with our network of distributors and vendors. You’ll have a lot of back-and-forth communication with them as you determine availability, lead time and pricing.

In conjunction with the XPERTECHS vCIO, you’ll work with clients to understand their future needs, timing, and budgets and proactively make recommendations that support those needs.

As the Project Team scopes out technology improvements for clients, you’ll source the components and prices for proposals, then follow through with purchasing and receiving when the project moves forward.

The Support Team will send information your way when they hear about client needs and as you respond you’ll make sure that appropriate requisition and approval processes are followed.

You’ll talk with the XPERTECHS’ President and Operations Manager on a regular basis to review how procurement is doing to reduce costs, decrease risk, and remain profitable.

The most successful Procurement Specialists are on the phone a lot because they’re proactive. They won’t wait for an email when they know a quick phone call will get a faster answer. They take the initiative when it comes to making purchasing decisions where costs need to be weighed with availability. At the same time, they’re able to use established processes to optimize procurement operations.

Who's a Great Fit for This Role

You don’t need technical training to be a great Procurement Specialist, but you do need to love technology. It would be a plus if you had some procurement or purchasing experience. You’re the type of person who can think on your feet. You know how to prioritize your time but you also know when you need to abandon the plan and go in a different direction. Loose ends bug you and you’ll do everything you can to make sure that you’re not responsible for a bottleneck that slows other people down.

Qualifications We're Looking For

Minimum Requirements:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable

— Education and/or Experience: This position requires a minimum of an Associate’s Degree (with a Bachelor’s
degree preferred); at least 2 years in purchasing and business operations experience at a small or mid-sized
business; or an equivalent combination of education and/or experience. Must be able to effectively
communicate in specific terms about technologies used by our clients, including Windows Server, Microsoft
Exchange Server, HP Servers, Router/Switches, Firewall Appliances, VoIP and IP environment, and CAT5e/CAT6
Infrastructures.

— Knowledge, Skills and Abilities: The Procurement and Operations Support Specialist must have a strong
aptitude in purchasing. Must have general knowledge of hardware, software, remote backup, desktop
optimization and cloud services. This individual must be detail oriented.

— Physical Demands: While performing the duties of this job, the employee is regularly required to communicate
with and present information to others and access information using a computer for several hours at a time.
Employees must have mobility throughout the office and may occasionally drive or ride up to 30 miles to other
service locations.

— Emotional Demands: The employee must be emotionally mature and be able to handle difficult and complex
client and work-related situations. Candidates must possess strong problem solving, conflict resolution, and
interpersonal skills. They must be self-driven and possess a positive mental attitude.

a variety of instructions furnished in written, oral, diagram, or schedule form. They must be able to effectively
present information and respond to questions from clients, vendors, and employees.
